Improve the efficiency of receptionists at veterinary hospitals

Intro

As a owner of a dog who diagnosed with heart problems, I had the opportunity to visit a pet hospital in emergency situations a lot. During the visit I had to wait a long time in a queue along with many others waiting whether it is to pay, to check in to an existing queue or to arrive because it is an emergency situation and needs treatment now. As a product designer I decided to take this issue personally to offer a solution to streamline the work of the receptionist and reduce the waiting times of the customers.

THE PROBLEM

Receptionists are overloaded, patients are waiting in line for a variety of reasons, and waiting times are long.

THE GOAL

The mission was to provide Reducing the patients’ waiting time by optimizing the receptionist’s work.

Observing receptionist tasks, I noticed:

Receptionists handle various tasks during emergency situations, leading to long queues.

Payment process causes delays due to surprise pricing and treatment explanation.

Urgent cases face delays in scheduling appointments or lack of immediate medical attention.

For features and components, the research concludes that appointment management, electronic medical records, billing and invoicing, inventory management, and integration capabilities are the most important. Additionally, Dashboards emphasize operational insights, live visitor tracking, and key performance indicators (KPIs).

during emergencies, I need the dashboard to highlight urgent cases and provide immediate access to client and pet records, enabling swift action and effective care coordination with veterinarians for exceptional service.

 I need a feature to set reminders for follow-up appointments, vaccinations, or other important events for clients’ pets, enhancing their care and satisfaction.

The Design Goal​

By focusing on dashboard optimization and addressing key pain points like payment surprises and urgent case handling, the proposed solution aims to streamline receptionist workflows and reduce patient waiting times effectively.

Clinic status management from one screen

The goal is to help the receptionist get an indication of the status in the clinic, amount of patients and perform tasks such as patient reminders.

Key Features:

  • Arrival Tracking: Live tracking for efficient client management.
  • Vaccination Reminders: Simple marking and management of vaccination reminders.
  • Appointment Overview: A comprehensive display of daily appointments for effective scheduling.
  • Clinic Status Snapshot: Immediate overview of patients, their locations, and emergency cases for prompt response.

Making appointments efficiently

 Scheduling appointments makes up a large part of the clerk’s duties. It should be a fast and efficient process

Find the patient by phone number or name, with the option to quickly add a new patient.

Search and choose the appropriate treatment

A Confirmation code with all the details will be send to the patient, which he should give the clerk as confirmation.

In veterinary clinics, responding quickly to liberty cases is crucial. thus the check-in process condenses it to just two steps for an effective response.
